What data we process
The public website has no forms or newsletter, and uses no cookies. For the swimmer account and the admin (admin.majetusz.hu) you can register and log in; see "Swimmer account" below.
Technical logs. When serving the website, our server, the hosting provider (RackForest) and the Cloudflare network record technical details of each request: IP address, time, the page opened and the browser type. The purpose is to run the site securely and without errors and to fend off abuse (such as denial-of-service attacks). Legal basis: legitimate interest (GDPR Article 6(1)(f)). We keep our server logs for no longer than 30 days. RackForest and Cloudflare handle their own logs under their own privacy policies (see Processors).
Visitor statistics. We compile aggregated statistics with Umami, running on our own server (for example, how many visits a page had and from which kind of device). It uses no cookies, does not store IP addresses and does not identify visitors; the data is not shared with third parties. Legal basis: legitimate interest (GDPR Article 6(1)(f)).
Fonts are served from our own server, so no data is passed to Google or any other font provider during your visit.
Swimmer database
On the Swimmers page we publish the data and results of Hungarian swimmers taking part in ice swimming competitions.
Source. The data is taken from public results pages; currently from the public member profiles of the International Ice Swimming Association (IISA, internationaliceswimming.com) and from the public result lists of the Hungarian Ice Swimming Championship (the official Gamma Timing results pages). For every swimmer we show the source and the date it was taken over.
Published data. Name, gender, portrait, IISA ID and membership level, and the results: date, distance and stroke of the swim, time, place, water temperature and wind chill, name and venue of the event, and the club and country given on the result list. The portraits were uploaded by the swimmers themselves to their IISA profiles.
Data not published. The place of residence and age shown on the IISA profile are kept only in our internal records, so that we can recognise the same swimmer across different result lists. Health data recorded with swims (such as heart rate and blood pressure) is not processed.
Legal basis. By registering for and entering the competitions, the swimmers consented to the publication of their data and results (GDPR Article 6(1)(a)).
Retention and erasure. We publish the data for as long as it is public on the source site. On request we erase a swimmer's data from our database and do not take it over again in later updates. Send your request to the e-mail address above.
Swimmer account and applying for competitions
Registration. In the admin (admin.majetusz.hu) you can ask for a swimmer account. For this you give your e-mail address and your name, and, if you wish, your gender, year of birth, club and IISA ID. We verify the e-mail address with a single-use code sent by mail. The registration is a request: one of our administrators reviews it and, on approval, creates the account and links it to your existing swimmer profile (by the IISA ID or the name), or opens a new one. We tell you of the approval by e-mail. Purpose: creating the account and identifying the swimmer. Legal basis: consent (GDPR Article 6(1)(a)). Retention: an unverified request is deleted after a day; an approved or rejected request is kept [RETENTION PERIOD], the account data until the account is closed.
Internal data you may give in the account. Phone number, the name and phone number of a person to notify in an emergency, shirt size; all optional. Purpose: organising the competitions and the safety of the participants (notification in an emergency). This data is never public: only you and the association's organisers with a separate permission see it, and every look and change is logged. Your club is public, shown on your swimmer profile. Legal basis: consent (GDPR Article 6(1)(a)). You can change or delete the data in your account at any time.
Logging in. There is no password: you log in with a code sent by e-mail, valid for 10 minutes. The logged-in session is kept by a cookie used for this alone (it expires after 7 days of inactivity or after 30 days). In the login log, the IP address and the browser details are deleted after 30 days. Legal basis: legitimate interest (the security of the account, GDPR Article 6(1)(f)).
Applying for competitions. You can apply for competitions in your account (an entry or an expression of interest), and change or withdraw your application until the deadline. The name, photo, club, role and races of those entered for a competition (and accepted by the organiser) appear on the competition's page as a public start list; when the Hungarian team travels to the competition, in the team's list. The list of those only interested is seen by the organisers alone. Legal basis: consent (GDPR Article 6(1)(a)).
Notifications about applications. When you apply, change or withdraw an application, we send an e-mail – if switched on for the competition – to the federation's administrators responsible for competitions and to further recipients set for the competition; these may be organisers outside the federation. The e-mail contains your name, the competition, the action and the races entered. When the organisers accept your entry, you receive an e-mail too. Purpose: handling entries and organising the competition. Legal basis: consent (GDPR Article 6(1)(a)).
